Set a Multi-User Work Environment

During installation, the location of the transmission databaseClosed (i.e. details related to all EFILE transactions) is determined and the folder structure needed to save EFILE information is created.

If EFILE is used in a multi-user work environment, 2 options are available to organize all EFILE-related data:

Option No.1 - Use a shared transmission database (recommended)

This option allows your firm to have more than one transmitter. The use of a shared transmission database makes the EFILE information accessible to all users for control and follow-up purposes.

With this option, the transmission database must be located in an area that is accessible to all transmitters so that it can be updated regularly.

Ideally, this location is determined during installation, so that the necessary files and directories may be installed correctly. If you have not determined a common location (ex.: a directory on the network) at the moment of installation, choose either of the following methods:

  • Move the database to a location on the network; or
  • Keep the database on a local hard disk, making sure that the EFILE folder is shared.

In all cases, you will need to set the location of the transmission database and the transmission files.

Notes:

  • The database is composed of the EFILE folder and all subfolders. Make sure that all subfolders provide the same level of access rights to the network.
  • If you choose to keep the database on a local hard disk that is shared, you must specify the location as a UNC path (i.e. \\…\) even on the workstation where the EFILE database is installed.
  • In a multi-user work environment where a network version of the program is used, preparers who transmit returns electronically must have the required rights to do this.

Option No.2 - Use a single transmitter

If you assign the transmission database to a single transmitter, it can remain on the local hard disk. However, other users will not be able to access the EFILE Log.
