About Print Formats
A client file or a group of client files is printed based on a print format. A print format contains the print settings for each form included in the client file, such as the number of copies printed, the choice of when to print a form, and which printer will be used. The program provides many predefined print formats that you can use to create customized formats.
To create a print format in the "My Print Formats" group, proceed as follows:
- Click the button, then click Print Formats.
- Click the New button .
- The list of forms will be displayed.
Select a form or a group of forms for which you want to modify the print settings. - Modify

for the selection made in the preceding step.
If you want to modify the print settings of a group of forms, select the desired setting in the list for the last form selected and the setting will apply to all of the forms in the group. - Repeat steps 3 and 4, if necessary.
- Click the button to save the new print format and set its properties.
- Click the button to return to the template view.
To edit a print format, proceed as follows:
- Click the button, then click Print Formats.
- The list of print formats displays on the screen.
Select the Print Format you want to edit and click the Open button . - Select a form or a group of forms for which you want to modify the print settings.

If you want to modify the print settings of a group of forms, select the desired setting in the list for the last form selected and the setting will apply to all forms in the group. - Repeat steps 4 and 5, if necessary.
- Click the button to save the modification and define the properties.
- Click the button to return to the template view.
Modify a Predefined Print Formats
The print formats provided with the Taxprep Forms cannot be modified directly.
However, you may copy one of these formats to create one that will be stored in the Print Formats view.
To create a copy of a print format, proceed as follows:
- Click the button, then click Print Formats.
- Select the print format that you want to copy.
- Click the button.
- Set the print format properties.
- Click OK.
To convert one or several customized print formats created with the previous version of the program, proceed as follows:
- Click the button, then click Print Formats.
- Click the Convert button
.
The Convert - Print Formats dialog box displays. The location selected by default is the one defined to save print formats created with last year's version. - Select one or several print formats you want to convert.
- Click Open to convert.
The print formats are saved at the location indicated in the options and settings and are available in the Print Formats view. If the conversion was done for only one print format, the converted print format is opened in the Print Formats view so it can be modified.
If a converted print format contains one or several forms that are no longer available in the current version of the program, they will be ignored during the printing of the client files with this format. When converting customized print formats, note that the "Print when?" print settings of the new forms will be defined as “Unknown.” Make sure to modify this setting to suit your needs, otherwise these forms will not print.
To delete a print format, proceed as follows:
- Click the button, then click Print Formats.
- Select the print format that you want to delete.
- Click the button .
- When the message appears, confirm or cancel the request to delete the print format.
For purposes of creating or editing the print formats, you can print a formatted document representing the print settings of each of the forms available in a print format.
To print the list of forms available in the Edit Print Formats view, proceed as follows:
- Click the button, then click Print Formats.
- Double-click the
print format you want to print.
The list of forms is displayed. - On the
File menu, click Print
.
The Print the Print Format dialog box is displayed. - Select the printer that you want to use.
- Modify
the print settings, if applicable.
- To print the document to a PDF file, select the Print to PDF file check box.
- To modify the paper orientation, click Portrait or Landscape.
- To increase or reduce the size of the font, select the Font size to use.
- Click OK.
