Client Letter Worksheet
The Client Letter Worksheet (Jump Code: LW) allows you to modify the information in the client letters printed along with a specific taxpayer's return.
Here is a description of each of the sections that could display in the letters:
Applicable client letter
- When the Filing instructions check box is selected, the Corporate Tax return Filing Instructions (Jump Code: CLF) become applicable and will be printed with the “Client” and “Office” print formats.
- When the No letter for filing instructions check box is selected, the CLF letter is no longer applicable and will not be printed with any print format.
- When the AGRI/HAGRI AgriStability and AgriInvest Programs check box is selected and Form Programs, AgriStability and AgriInvest (Jump Code: AGRI/HAGRI), is applicable, the Filing Instructions for the AgriStability and AgriInvest Program Form (Jump Code: CLA) become applicable and will be printed with the “Client” and “Office” print formats. Otherwise, the CLA letter is no longer applicable and will not be printed with any print format.
- When the Notice to reader check box is selected, the Notice to Reader (Jump Code: NOTICE) becomes applicable and will be printed with the “Client” and “Office” print formats. Otherwise, the Notice letter is no longer applicable and will not be printed with any print format.
The choices of these check boxes apply to the client file only. In order for these choices to apply to all clients, use the preparer profiles under the CLIENT LETTER tab. - When the Covering letter check box is selected and the amount of the payment is greater than $2, the Covering Letter to Accompany a Payment of Income Tax (Jump Code: LETTER P) becomes applicable. This letter will then be printed if you are using the “Client” and “Office” print formats.
Identification of firm
- When the Firm name and address check box is selected, the name and address entered in this section will be displayed in the CLF letter, the CLA letter and in the Notice.
The choice of this check box applies to the client file only. In order for this choice to apply to all clients, use the preparer profiles under the CLIENT LETTER tab.
Salutation and date
This section allows you to choose the salutation to use for client letters.
The system date can also be modified using an override in order to use a different date when printing.

Identification of corporation
- When the Corporation name and address check box is selected, the last name, first name and address entered in this section will be displayed in the CLF and CLA letters as well as in the Notice.
- This information is from Form Identification, Corporate Identification and Other Information (Jump Code: ID).

T2 – Paper format, T2 –Internet filing, T106, T1044, T1144, T1134, T1135, RC4649, CO-17 – Paper format, CO-17 –Internet filing, AT1 – Paper format, AT1 – Net File, British Columbia, Manitoba, SCT1, Capital tax, AGRI/HAGRI –AgriStability and AgriInvest Programs.
For each of these sections, one or more forms are associated with a check box. When a form is applicable and that it must be signed and/or mailed and/or retained, the related box will be selected for purposes of displaying the corresponding paragraph in the CLF letter. The line(s) Repayment, when they appear in a section, enable the display of the amounts entered on those lines in the CLF letter.
All sections include the lines Filing deadline and Balance-due date, which allow you to display, in the CLF letter, the paragraph informing the client of the filing deadline and, when a balance is due, the balance-due date.
- Selecting the Include the paragraph indicating that according to the information supplied, the corporation was not required to file Form T1135 check box allows you to display the paragraph in the CLF letter.

Interest and late-filing penalty
- Selecting the Include the paragraph relating to interest and penalty check box allows you to display the paragraph corresponding to the jurisdiction selected in this section.

Covering Letter to Accompany a Payment of Income Tax to the CRA
This letter is intended to accompany a cheque for the payment of a balance due for corporate income tax when the official remittance form issued by the Canada Revenue Agency (CRA) is not available and the cheque is mailed under separate cover.
The cheque must be made payable to the Receiver General and the corporation’s business number (BN) as well as the taxation year to which the payment relates must be indicated on the back. If you select the Include the estimated interest and penalties in the amount paid in the Letter P check box, the amounts of interest and/or penalties calculated in Form Interest (Jump Code: INTEREST) will be included in the payment amount indicated in the Covering Letter to Accompany a Payment of Income Tax to the CRA (Jump Code: LETTER P). Note that the choice made using this check box applies to the active client file only. To make this choice for all client files, select the check box at point 5 in the “Default settings” section of the INTEREST tab in the preparer profile you are using.
Opening paragraph
- Selecting the Optional opening paragraph check box allows you to display the paragraph in the CLF letter, only for the client file.
When text is entered in the text field, this check box is automatically selected.
- Selecting the Optional opening paragraph from Preparer Profile check box allows you to display the paragraph in the CLF letter, only for the client file.

Closing paragraph
- Selecting the Closing paragraph to be inserted before last sentence check box allows you to display the paragraph in the CLF letter, only for the client file.
When text is entered in the text field, this check box is automatically selected.
- Selecting the Closing paragraph from Preparer Profile check box allows you to display the paragraph in the CLF letter, only for the client file.

Name of sender and firm
- When the Sender line contains data, the paragraph including the data displays in the CLF letter, only for the client file.
- When the first Firm line contains data, the paragraph including the data displays in the CLF letter, only for the client file.
This line applies to the client file only. In order for this line to apply to all clients, use the preparer profiles under the CLIENT LETTER tab.
- When the second Firm line contains data, it displays under the first Firm line at the end of the CLF letter, only for the client file.
Other information
The data in this section comes from the client file and is included in a paragraph in the CLF letter.
Balances to be carried forward
This section indicates the balances of available losses for Federal, Alberta and Québec, excluding any losses expired in the current year based on federal Schedule 4, Alberta Schedule 21 and Québec Form CO-17.S.4. It also contains the GRIP balance at the end of the tax year, taking into account any eligible dividends paid during the current year per Schedules 3 and 53.
Client letter information from preparer profile
- The drop-down list of the Printing type for the list of instalments line allows you to choose whether or not to print the instalments table. It also allows you to determine if the table will be printed in the CLF letter or separately.
- Selecting the office logo in the heading check box allows you to print the logo in the CLF letter.
- Selecting the mailing address for T2 and CO-17 returns check box allows you to print, in the CLF letter, the address of the tax centre corresponding to the province entered on line 016 of the “Corporate addresses” section of the Identification form in the client file.

User-defined cells for customized letter content
The user can enter up to fifty amounts as well as the description and the date with which they are associated in order for this information to be updated to a customized letter created by the user.
Additional letter(s) to print
This option allows you to make the additional letters applicable for printing purposes.
You need to select the box(es) corresponding to the additional letters that you want to use and then define the “If applicable” value for these additional letters in your print format.
To make the additional letters applicable for all clients, go to the preparer profil used, click the Client letter tab and select the appropriate check box in the "Client letter information" section.
Additional paragraphs
The user can add up to one hundred additional paragraphs to customized letters. Data entered on these lines only applies to the client file. In order for this line to apply to all clients, use the preparer profiles (CLIENT LETTER tab).
To change these options so that they apply to all returns, modify the preparer profile.
